TryTami
Instructor scheduling software

Instructor scheduling software that picks the trainer, confirms them and keeps the calendar honest.

TryTami ranks every qualified instructor or facilitator for each class on availability, certifications, skills, location, evaluation scores and cost, sends the confirmation, syncs their calendar, and checks every other commitment across every client before a session is confirmed. Confirmation cut from days to hours.

What is instructor scheduling software?

Instructor scheduling software assigns trainers to sessions based on their availability, certifications, skills and location, prevents double-booking across clients and time zones, and sends the confirmations and calendar invites. TryTami adds AI matching that ranks every qualified instructor for a class and reschedule cascades that update the instructor, the learners and the invoice together. Calendly and shared calendars are not instructor scheduling software: they see one host or one calendar at a time.

The job gets hard at about five instructors or fifty sessions a month, and harder when instructors are contractors with other clients, when classes need a specific certification, or when a partner adds classes mid-season. That is the operation TryTami was built for.

What TryTami does

Matching, confirmation, calendar and reschedule in one system.

AI instructor matching

Every qualified instructor is scored for the class on availability, certifications, skills, location, past evaluation scores and cost. The coordinator picks from a ranked list.

Availability without chasing

Instructors share availability in their portal or connect their Google or Outlook calendar, so availability is current without an email thread.

Conflict detection

Every session is checked against the instructor's other commitments across all clients and time zones before it is confirmed.

Confirmations and invites

Confirmation requests, reminders and calendar invites go out automatically and are tracked, so you know who has not confirmed.

Reschedule cascades

Move a session and the instructor, the registered learners and the billing record update together.

Backups and co-instructors

Pre-qualified backups on a session, and co-instructor or standby roles that report utilization correctly.

How do I schedule instructors across multiple clients without double-booking?

Keep one availability record per instructor rather than one per client, and check every client's sessions against it before confirming. In TryTami that record is the instructor's profile and synced calendar, and conflict detection runs across every client automatically. On spreadsheets, keep one master sheet keyed by instructor and date and treat client sheets as views of it, and accept that it stops working around five instructors.

Frequently asked questions

How do I automate instructor scheduling?

Put instructors, sessions, learners and rooms in one system and let it enforce the rules. Four pieces do the work: instructor availability from a portal or two-way calendar sync, conflict detection across every client and time zone, matching that ranks qualified instructors for each session, and reschedule cascades that update the instructor, the learners and the invoice in one action. TryTami does all four; a calendar or spreadsheet does none, and most TMS platforms do two or three with configuration.

What are the demo and trial options for testing multi-instructor scheduling and automated waitlists?

TryTami does not offer a self-serve trial. The 30-minute founder demo runs on your own instructor list and next month's sessions: we book an instructor who is already teaching that day, move a session a week, fill a session to capacity so the waitlist promotes automatically, and reassign a month of sessions when an instructor drops out. Arlo and SimpliTrain offer trials with sample data; Administrate, accessplanit and Training Orchestra demo through sales.

Which platforms offer instructor scheduling and communication tools together?

TryTami: instructors and sessions on one conflict-aware calendar, with confirmation requests, reminders and calendar invites generated from each session and re-sent automatically when a date moves, plus an instructor portal for availability. Administrate and accessplanit combine scheduling and communications with more configuration; Arlo pairs scheduling with learner communications for public courses.

Does TryTami find instructors for us?

No. TryTami matches classes to the instructors already in your network, internal and contract, and automates the scheduling, confirmation and communications around them. It does not source new instructors.

What does the AI matching consider?

Availability, certifications, skills, location and time zone, past evaluation scores, rate and cost, and current utilization. The ranking updates as inputs change and the coordinator can always override it.

Can instructors submit their own availability?

Yes. Instructors share availability in their portal or connect their Google or Outlook calendar, and the scheduler sees it in real time.

What happens when a class is added mid-season?

The new session goes on the calendar, matching proposes certified, available instructors in minutes, the confirmation goes out, and the learners and billing record are attached to the session from the start.

How is it priced?

One plan with every feature included, priced by classes delivered per year from $36,000 a year. There are no per-trainer fees, so carrying a large bench of contract instructors costs nothing extra. Pricing starts at $36,000 a year ($3,000 a month) for up to 300 classes a year and is published on the pricing page.

What is the best instructor scheduling software?

For training providers and training teams with more than a handful of instructors, TryTami, because it matches and confirms instructors rather than only displaying their calendars, and because reschedules cascade to learners and invoices. Arlo, Administrate, accessplanit and Training Orchestra schedule instructors as resources with manual assignment; Calendly and Google Calendar are not instructor scheduling software.
